Name search returns a list. You choose the company. Auto-picking the first row is how desks book the wrong LLC. A DBA that matches an email signature still has to join to the USDOT and MC on the rate confirmation.

If you already have a USDOT or docket on the thread, use DOT lookup or MC number lookup instead. Numbers fail closed faster than names.

what this report shows

• A list of census matches for the string you entered (legal name and DBA fields)
• USDOT, state, and telephone on each row when FMCSA lists them
• A drill-down to the same census fields you would see after a DOT lookup on the row you open

Name search does not pick the carrier for you. It surfaces candidates. Authority and insurance are still on L&I.

when not to use name search

If you have a DOT or MC, use that. Names collide: Inc vs LLC, DBA vs legal, punctuation, and “Logistics” tacked on the end. Identity theft often uses a near-name that will appear next to the real company.

Do not search a nickname from a load board and cover the first active-looking result. Call the census telephone on the record you chose and ask them to state their own DOT.

how to pick the row

• Match legal name punctuation and entity type to the W-9 and the rate con.
• Match physical state to the operation you were told you were booking.
• Open the DOT, then confirm the MC on that record is the MC on the thread.
• If two rows look alike, you do not have a match. Get a number from the carrier’s office.

still confirm on Licensing & Insurance

After you choose a row, open L&I for that company’s docket and check:

1. Active property common or contract authority for your lane.
2. BOC-3 on file and not rejected.
3. Required BI&PD BMC filing with no cancellation before pickup.

When census and L&I disagree, believe L&I. Cargo-carried on the census is a hint, not proof of equipment on the yard.

1. Search the legal name from the W-9 or rate con — not a nickname from the load board.
2. Pick the row that matches entity type, state, and phone pattern. If none match, stop.
3. Copy USDOT and MC from that record. Open L&I and confirm Active motor-carrier authority.
4. Call the census telephone. Ask them to state legal name and DOT.
5. Save dated screens with the load file.

common mix-ups

• Booking the DBA when the rate con names a different legal person — Match the legal name on L&I.
• Ignoring a second row with nearly the same name — Chameleon and identity-theft patterns reuse near-names. Read both rows.
• Skipping L&I because the list looked “active enough” — Allowed-to-operate on census is not the filing check.
• Using name search to “fix” a failed DOT lookup — Wrong number type first; fix the identifier before you search names.

worked desk: two “Midwest Transport” rows

Email signature: “Midwest Transport — MC 123456.” No DOT in the thread. Name search returns Midwest Transport Inc (Ohio) and Midwest Transport LLC (Indiana), both with similar DBAs.

Rate con PDF says Midwest Transport Inc, Indiana address in the footer. You pick the Ohio row because it was first — wrong entity. Match Inc, state, and MC on L&I to the rate con before you cover.

fail closed

Do not cover when:

• No row matches legal name, entity type, and state on the W-9 and rate con.
• Two plausible rows remain after you read addresses and phones — get a USDOT from the carrier’s office.
• L&I is not Active for property motor-carrier authority on this lane.
• MC or DOT on the thread does not match the row you chose.
• Census phone will not confirm the legal name and DOT you are about to put on the rate con.
